Add Delegates in Outlook 2013

To add someone as your delegate, click “File” tab, on the left the “Info” category should be selected by default (if not, click it), on the right, click “Account Settings” button.

Use rules and alerts to help organize your incoming e-mail messages, and receive updates when items are added, changed, or removed.

Select “Delegates Access” from the drop down list.

Account settings. Account settings...: Add and remove acounts or change existing connetion settings. Social network accounts: Configure Office to connect to social networks. Delegate access: Give others permission to receive items and respond on your behalf. Download address book: Download a copy of the Global Address Book. Manage mobile notifications: set up SMS and mobile notifications.

The “Delegates” window pops up, click “Add…” button.

Delegates can send items on your behalf, including creating and responding to meeting requests. If you want to grant folder permissions without giving send-on-behalf-of permissions, close this dialog box, right-click the folder, click Change Sharing Permissions, and then change the options on the Permissions tab. Add...

The “Add Users” dialog box pops up, search for the person whom you want to be your delegate, click to highlight the person’s name, then click the “Add->” button in the lower left corner, and then click “OK“.

Add Users. Search: name only, more columns. address book. Advanced Find. Name, title, business phone, location. Add ->

The “Delegate Permissions” dialog box pops up, in which you can set up permissions for the delegate that you selected. By default “Editor” is selected for Calendar, who has full read, write and modify permissions for your account. You can also set the permission as “Reviewer” (who has read only access) or “Author” (who has read and write access) depending on what you need the person to do.

Tasks, inbox, contacts, notes, journal. Automatically send a message to delegate summarizing these permissions. Delegate can see my private items. Ok, Cancel.

By default, the option “Delegate receives copies of meeting-related messages sent to me” is selected, click to uncheck it if you don’t want the person to receive meeting request for you. Set up permissions for other folders (Inbox, Contacts, etc.) as you desire, then click “OK“.

You’ll be back to the “Options” window, select how you want the meeting requests/responses to be received:

  • My delegates only, but send a copy of meeting requests and responses to me (recommended)
  • My delegates only
  • My delegates and me

Deliver meeting requests addressed to me and responses to meeting requests where I am the organizer to: My delegates only, but send a copy of meeting requests and responses to me (recommended), My delegates only, My delegates and me. Ok, cancel, apply.

You can add more than one person as your delegates. When you’re done with adding people and setting permissions, click “Apply” button then “OK.
