Please note: these policies refer only to the conference room and group study room. Small (four people maximum) study rooms are for walk-in use only and may not be reserved.
(Read these instructions before you go directly to the Room Request system.)
Room Availability and Policy
- The conference room and group study room are available during any regular library open hours. Patrons with reservations immediately at opening or until closing should plan a ten (10) minute margin when they may not have access to the room due to regular opening or closing procedures.
- School of Chemical Sciences faculty, staff and students have priority for room usage.
- Maximum occupancy is 20 people in the Conference Room and 8 people in large group study.
- All reservations must be for School of Chemical Sciences academic or departmental meetings, SCS course office hours, or other academic or scholarly activities.
- Registered Student Organizations (RSOs) are not permitted to use the Chemistry Library meeting spaces. RSOs must go through the RSO Illini Union online space request form https://union.illinois.edu/rsoreservations
- Conference Room users must be trained in advance of reservation(s) on using the projection, teleconferencing, and other equipment. Users without training that try to use the equipment will be held responsible and all future room reservations canceled until trained. Undergraduates should reserve the large group study room unless they have a need for the presentation equipment.
- The maximum reservation length for the conference room and large group study is three (3) hours, 1 time per day. This is particularly important during mid-terms and finals and for benefit of more users. Exceptions will be made on an as needed basis for SCS faculty and/or special events.
- Reservations require a @illinois.edu email address. You may cancel a reservation at any time by following the link sent to you in the original email confirming the receipt of your reservation request. Please save this email so that you will be able to cancel at any time leading up to the reservation if your plans change.
Making a One-Time Reservation
- Go to the Room Request system and select the Chemistry Library Conference Room or Group Study Room as appropriate from the Category menu at the top of the screen.
- The current date will be the default or use the arrows to the following week. Alternatively you can use the Go To Date box to navigate to a desired date.
- Click on a green (available) box at the desired start time. The reservation time default is 30 minutes. Adjust the time needed up to three (3) hours for the Group Study or Conference Room. You will not be able to select red (unavailable) boxes since others have already scheduled the room.
- Verify the date and times in the box that appears below. Click on Submit Times.
- Complete your full first and last name and @illinois.edu email address. A Booking Name is required, please enter either a meeting name or course number for office hours. Click Submit my Booking. You will receive an email confirming your request.
Making a Recurring Reservation
It is highly advised to have a list of the days, dates, and times before making a recurring reservation.
- Go to the Room Request system and select the Chemistry Library Conference Room or Group Study Room as appropriate from the Category menu at the top of the screen.
- Use the Go To Date box to navigate to the first desired date. Click on the first green (available) box at the start time. The reservation time default is 30 minutes. Select all boxes, up to three (3) hours for the Group Study or Conference Room. You will not be able to select red (unavailable) boxes since others have already scheduled the room.
- Your selected dates and times will display at the bottom of the screen.
- Click again on the Go To Date box and select next date. Repeat process of selecting green (available) boxes on dates and times for all reservations. Dates and times will accrue in the bottom display. If you need to remove a reservation, click on the small trash can to the right.
- Verify the date(s) and time(s) in the box that appears below. Click on Submit Times.
- Complete your full first and last name and @illinois.edu email address. A Book Name is required, please enter either a meeting name or course number for officer hours. Click Submit my Booking. You will receive an email confirming your request for all the dates / times selected.
